Birthday Party Contract 2026

Our goal is to give you a great place to hold your child's birthday party. Questions? Call us at (847) 428-6727.

Please read carefully. Arrive 20 minutes before your party starts and go to the business office in the main barn. You must check in at the office so we know you are here and can confirm any extras, like meal time if you pre-ordered kid's meals.

You may set up 15 minutes before your start time. One party is booked in the private area at a time, and you get two hours there. Decorations come down before you leave. You and your guests can stay on the farm as long as you like, but the party table area must be vacated two hours after your start time. The farm and all attractions close at 6:00pm.

A $300 non-refundable deposit is due at booking via credit card. The signed contract must be returned within 7 days of the deposit.

Party Package

The basic party package is $600 and is the minimum required to host. It includes the private tent for up to two hours, twenty (20) wristbands for guests 3 and older, 1 wristband for the birthday child (if the child is 2 or under, that wristband may go to a parent or extra guest), and a medium pumpkin for the birthday child.

Final Payment

The final balance is due before the day of the party, Monday through Friday, through our office in person or by phone. We finalize your count then. Payment must be cash or credit card. No checks. Credit card refunds are subject to a 5% service fee.

Village of South Barrington Amusement Tax

Every Fall Festival entry wristband carries a $0.45 tax, charged per wristband when the final balance is paid. Each party package is charged for at least 20 wristbands. Any wristband beyond the 20 also carries the tax.

Guest List & Entry Wristbands

Everyone 3 and older needs a wristband to access the farm on a weekend. Your package includes twenty (20). More must be purchased in advance.

Our birthday party coordinator will email you a link to complete your guest list and the wristbands per family which must be completed by Tuesday of the week before your party. We cannot accept a guest list on the day of your event. Guests check in at the birthday party line at the red and white ticket booths in the parking lot. We will not provide wristbands beyond the allotted amount, and any discrepancy means the guest buys their own on the spot.

Personal Property

We are not responsible for lost or stolen belongings or gifts. The tent is private, but watching your cake, gifts, and personal items is your responsibility. Someone from your party should be in the tent whenever you leave things there. Take gifts to the car before the activities start.

Refunds

Leftover refundable tickets or food dollars can be cashed out at the office between 9:00am and 4:00pm, Monday through Friday, through the first week of November. Credit card refunds carry a 5% fee. Choose a Goebbert's Gift Card instead and you get the full amount with no fee.

Farm Policies

Read these, check the box, then sign below.

Staff

We do not provide staffing for your party. We provide the space and the activities. For help during your party, go to the office or the cafe.

Weather

The farm runs rain or shine. Most of your party is covered, but you will be outside at times. Rained out? We will try to reschedule, though we can only guarantee a 3:30pm to 5:30pm slot. If the field is muddy and unsafe, the wagon will not run.

Costumes

Costumes are a great idea. Remind guests not to bring weapons or accessories that could hurt them or our animals, including wands, whips, guns, nun chucks, and pitch forks.

Do Not Bring

No noise makers, sparkler candles, latex balloons (Mylar is fine), dangerous costume accessories, piñatas, party games, gum, pets, or outside food and drink other than the birthday cake.

What to Bring

A knife to cut your cake, plus candles and a lighter or matches. We do not provide these. Also handy: hand wipes, large bags for gifts, a wagon to get gifts to the car, a camera, raincoats, umbrellas, gloves, and hats.

Gifts

Opening gifts at the farm eats your time and the other kids get restless with so much to do. Open gifts at home. When your slot ends, bring the gifts to your car.

Itinerary

Start with kid's meals if you added them, since the tables are yours for only two hours. Take as long as you like with the attractions. Just vacate the party area on time so we can reset it. Attractions close at 6:00pm.

Tables

Tables are 8 feet long and fit 10 to 12 children or 6 to 8 adults. Nine tables in the party tent, plus 2 folding tables for cake and gifts. Each gets a brightly colored tablecloth.

Decorations & Supplies

We supply plain white paper cake plates, plastic tableware, condiments, and napkins. Bring your own tableware if you like. Our fall decorations stay up and cannot be removed.

Birthday Cakes

We do not supply cakes. Bring your own cake or cupcakes. This is the only outside food allowed. Bring candles, matches, and a knife or cake server. You may want to keep the cake cool at the cafe until you serve it.

Food

Kid's meals come to you at your requested meal time. Be at the tables and ready for our staff. Children's meals are non-refundable.

Adult Food

Buy food dollars in advance with your package and parents can order at the cafe in the general public line. Figure $10 to $15 per adult. Good in the Red Barn Cafe, snack shop, corn roast, and kettle corn. Unused dollars refund at the office through the first week of November.

Late Arrivals

Arrive late and we reserve the right to hold you to your original time slot. We will do our best, but the tent is booked to your slot.

Activities

Your entry wristband includes Animal Land, Little Farmer's Play Yard, the Haunted House, the wagon ride, the jumping pillow, and more. Weekends add pig racing and a magic show. Jumping pillow riders must be 32 to 54 inches tall, nobody under 2. Animal rides, animal feed, and gem mining are not included.

Pumpkins

One medium pumpkin for the birthday child. You get a coupon good for one red dot pumpkin.

Special Arrangements

Ask us about special arrangements, but understand we know what we can and cannot deliver well. We will not promise a service we cannot do properly.
